Automation Flow Professionals ("AFP," "we," "us") is operated by A Rhea of Hope, Inc., a California corporation. This Privacy Policy explains what information we collect, how we use it, and how we protect it. By using our services or this website, you agree to the practices described here.

1. Information we collect

Contact information you provide directly: name, business name, email, phone number, mailing address.
Field intake content: voice recordings, transcripts, MMS photos, and SMS messages submitted by authorized field technicians for the purpose of generating field reports.
Account and billing data for clients, including payment information processed by our payment provider.
Technical and usage data: IP address, device type, browser type, and pages viewed when you use our website.

2. How we use information

To deliver the field documentation service: transcription, photo analysis, and PDF report generation.
To send service-related SMS, MMS, voice, and email messages — including delivery confirmations and report links.
To respond to inquiries and provide customer support.
To bill clients and prevent fraud.
To improve the service, subject to the constraints in Section 5 below.

3. SMS and voice messaging

If you opt in to our SMS program by providing your mobile number to AFP or to an AFP client (such as your dispatcher or supervisor), you may receive automated SMS, MMS, and pre-recorded voice messages related to field intake and report delivery. Message and data rates may apply. Reply STOP to any SMS to unsubscribe; reply HELP for help. See our SMS Program Terms for full details.

We do not share or sell mobile information to third parties or affiliates for marketing or promotional purposes. SMS opt-in data and consent records are not shared with any third party.

4. How we share information

We share information only with:

Service providers we contract with to operate the pipeline (telephony, transcription, AI inference, email delivery, hosting, payment processing). These providers process data only on our instructions.
Our clients: a technician's field report is delivered to the contracting business that authorized the technician's intake.
Authorities when required by law or to protect rights and safety.

We do not sell personal information.

5. AI training and content reuse

Field intake content (voice, photos, transcripts) is used to generate the requested report and to improve the specific client's pipeline. We do not use client field intake content to train general-purpose AI models, and our subprocessors are contractually prohibited from doing so.

6. Data retention

Field intake content is retained for the duration of the client engagement and for a reasonable period thereafter for support and audit purposes (typically up to 12 months) unless the client requests earlier deletion. Account and billing records are retained as required by law.

7. Security

We use industry-standard administrative, technical, and physical safeguards to protect information, including encryption in transit, access controls, and audit logging. No system is perfectly secure; we cannot guarantee absolute security.

8. Your rights

Depending on your location, you may have rights to access, correct, delete, or port your personal information, and to opt out of certain processing. To exercise these rights, email lucas@autoflowpro.com. California residents have additional rights under the CCPA / CPRA.

9. Children

Our services are not directed to children under 13, and we do not knowingly collect personal information from children.

10. Changes

We may update this Privacy Policy. The "Last updated" date above reflects the most recent change. Material changes will be communicated via the website or by email.
